Barcode or RFID? The answer is often: both.
RFID is not the successor to the barcode. They are two ways of registering that exist side by side, and the difference comes down to one thing: with a barcode someone has to pick up the object and aim the scanner, with RFID they do not. Every trade-off below comes back to that.

If your answer is in the right-hand column three times or more, RFID is worth the conversation. Stay on the left and a barcode is cheaper and simpler, so keep it.

These five are not about technology but about your process. That is no accident: both technologies are proven, the difference sits in the action your people do every day.
Where the barcode is simply better

- An item that is already in your hand when you scan it
- One-off registration where nobody comes back to the same object
- Small numbers, where the cost per label weighs heavier than the time
- Processes where the scanner is already there and already works
Niet
- Registering hundreds of items at once
- Reading without line of sight, for example inside a closed box
- Stock that has to add up in between without an extra counting round
- Finding objects that are somewhere other than where they belong
This is not false modesty. Replace a barcode process that works fine and you pay for labels and equipment without getting time back. We would rather say that now than after the investment.
Where it goes wrong
Metal and liquid, and not the technology
RFID almost never fails on the software and almost always on the physical side. Metal reflects the signal, water absorbs it, and a label that reads fine on cardboard is useless on a steel cart. That is solvable with a different label type, but it has to be measured on your material first. Skip that step and you find out after the rollout.

In practice they sit on the same label
An RFID label can be printed with the same barcode you use today. So nothing has to change all at once: the people who scan can keep scanning, and the processes where speed counts move to reading without touching. That is also why a switch is rarely a big bang and usually one process at a time.

After the measurement you know what it saves and what it costs. If the barcode turns out to be enough, that is the outcome and it stops there.
